Registration

•• Academic registration refers to persons that are affiliated with a University or Research Institute. It does not refer to persons from industry for whom the Regular registration fee applies.

••• For final confirmation of your Student registration, a proof of status should be submitted to the Organizing Secretariat via email at registrations-iswc2023@convin.gr. The Organizing Secretariat reserves the right to allocate your registration to the appropriate category, in case relevant documentation is missing.

The registration fees do not include insurance of participants against accidents, sickness, cancellation, theft, property loss or damage. Participants are advised to take out adequate personal insurance.

• Posters & Demos session and reception on Wednesday, 8 November 2023

If you require a letter of invitation for Visa purposes, you will have the opportunity to request one in the registration form. Kindly note that invitation letters are only sent to registered and paid delegates.

Terms & Conditions

• All registration fees are quoted in Euro (€) and taxes are included.
• Payment in any other currency will not be accepted.
• Invoices with an address in the European Union must be provided with a VAT Number. The invoicing address and VAT number can be set up during the registration process.
• Any modification on VAT number or address, requested after the issuing of the invoice, will result in an administrative fee of € 50.
• Registration fees are based on the date of the receipt. The prices indicated are only applicable if BOTH the registration request AND payment are received before midnight, Central European Time (GMT +2), on the relevant registration deadline date, otherwise the higher registration fee will be applied.
• An email/ letter of receipt will be sent to you upon completion of your registration. This letter must be presented at the registration desk at the conference venue and only if outstanding amount is zero, you will be able to receive the conference documents.

Payment Details

• You may pay your registration fee by credit card or bank transfer.
• Registration payments must be completed before the end of the selected registration deadline.
• If the payment is not submitted by then, the fee will be changed to the one that corresponds to the next time period.

Cancellation & Alteration Policy

Any cancellation or alteration of your registration must be notified in writing by e-mail to registrations-iswc2023@convin.gr, and will be subject to the following conditions:

• Until September 10^th, 2023: full refund will be given less €50 administrative fee.
• From September 11^th, 2023 onwards: No refund granted.

Alterations / Name changes

• Until September 10^th, 2023: name changes will be charged €50 administrative fee.
• From September 11^th, 2023 onwards: no name changes will be accepted.
• Non-shows at the Conference will be charged a full fee.
• A fixed price of €100 will be charged for the replacement of lost badges during Conference dates.
• All refunds will be processed one (1) month after the closing of the conference and bank charges associated with this will be the responsibility of the delegate.
